One platform.
Every person.
Every animal.
One animal is carried by many hands: staff, volunteers, the vet, a foster home, a new family. Those are the hands Taildesk brings together.
Pick a role to see what it does in Taildesk.
Animals
At the centre is the animal sitting in the kennel right now, waiting. Everything else hangs off that.
One record per animal: background, temperament, health, status today
A kennel card that matches the record
Chip number, vaccination card and neutering in one place
Who took them out today, who fed them, who gave medication
The whole path from intake to adoption, traceable
Shelters don't have an animal problem.
They have a people-coordination problem.
Most of what eats the day in a shelter has nothing to do with the animals.
No-shows
The appointment is set, the animal is ready — and nobody turns up.
Paperwork
Intake form, adoption contract, vaccination record: the same details typed three times.
Shift planning
The rota is on the noticeboard and out of date by Tuesday.
Communication
Arrangements are spread across WhatsApp, email and notes on the pinboard.
Adoptions stall
Enquiries sit unanswered because nobody knows who already replied.
Separate systems
The spreadsheet, the calendar and the address list know nothing about each other.
From intake to a forever home.
This is the way an animal moves through a shelter. At every stop, Taildesk takes one job off your hands.
Intake
The animal arrives; details and history are recorded once.
Medical check
Examination, vaccinations and treatments go into the same record.
Volunteers step in
Whoever takes over sees straight away what this animal needs.
Walks
Rounds get assigned, picked up and briefly written down.
Behaviour improves
Progress is on record, not just in one person's head.
Adoption
Enquiry, home check and contract come together in one place.
Home
The animal moves out. The record stays, in case anyone asks.
It ends with an animal in its new home.
Choose your role.
Taildesk looks different depending on who you are: whoever writes the shift rota needs something other than whoever walks a dog on Saturday or sponsors an animal.
Shelter team
You write the rota, hand out the tasks and know by the evening what got done. Instead of a printout in the hallway, cancellations in a WhatsApp group and a handover scribbled on paper, it runs in one place. Anyone starting today can see what needs doing.
What that covers
Write rotas and see the gaps
Cancellations and cover without a phone chain
Tasks per shift, ready to tick off
Handover from the early to the late shift
Record intakes, moves and returns
Roles and permissions per person
Overview of occupancy, adoptions and hours
Every role sees the part of Taildesk that fits their day.
Everything your shelter needs.
Taildesk is one platform for the whole shelter day — from the duty roster to the animal record.
Volunteering
Who can help when? Shifts, tasks and confirmations in one place instead of across five chat groups and a list on the notice board. For us this is the core of Taildesk.
Animal records
History, health and current status per animal — findable, instead of buried in a folder.
Adoption
Walking schedules
Medical
Reports
Inventory
AI assistance
Prepares routine text and answers questions about your own data, so the busywork gets lighter.
Donations
Events
One place for the whole shelter day. You choose which areas your team turns on first.
Built for modern animal welfare.
A lot of shelter work still runs on paper, spreadsheets and three chat groups. That is exactly where we start.

The Taildesk column is the same work, once it lives in one place.
Built for trust.
German shelters hold the data of volunteers, members and prospective adopters. Taildesk is built to guard it, from day one.
GDPR-compliant
We build along the GDPR: data minimisation, clear purposes, access and deletion planned in from the start.
Hosting in the EU
Servers and backups are to sit inside the EU only, operated under European law.
Roles and permissions
You decide who may see and change what. The board, the paid team and volunteers are not the same thing.
Audit logs
Changes to animal records and adoptions stay traceable instead of disappearing into a chat thread.
Encrypted data
Encrypted in transit and at rest, with the most sensitive fields encrypted individually on top.
Automatic backups
Regular, verified backups — so one wrong click never costs a year of work.
EU hosting, encryption, roles and audit logs — the safeguards a shelter's data deserves.
Common questions.
Short, honest answers. If something is missing here, put it in the questionnaire.
Tell us about your shelter in the questionnaire and we set you up. Partner shelters go first — with hands-on onboarding and a direct line to our team.
Not in one go. You can start with a single area — shift planning, say — and bring the rest over later. We import from spreadsheets, paper or an existing program; the questionnaire asks what you use today, so the right data comes across.
That is who it is for. An association with twelve volunteers sets Taildesk up without an IT department — every feature works without full-time administration behind it.
It belongs to you. We do not sell data and do not pass it to third parties that have nothing to do with running the platform. Hosting is in the EU, and you can export your data again at any time.
That is our bar. Anyone taking a shift or adding an entry should manage it without a manual. Anything that only makes sense after a training session is a design flaw to us.
Through the questionnaire — five short steps in which you tell us what actually hurts in your shelter. Your answers set our priorities, not our own wish list.
